City of York goes live with School Travel SMS
As part of their efficiency and transformational change Programme "More for York", City Of York Council has gone live with an innovative approach to school travel communication called YorTXT
 
The system, powered by Kirona's messaging service KMS, allows the Yorkshire Pullman bus company to update route service information in real-time and immediately notify pupils at Fulford School and parents of any changes or delays to the buses. Subscribers can also text in information about the bus service, including quality of service, and notable incidents on route such as bullying or vandalism.  These are then automatically forwarded to the relevant people to be dealt with.

KMS inbound and outbound SMS processing is at the heart of the system, and is just another application of this popular product, widely used in local authorities. By way of an example of how the system could be used - this winter, if a problem boiler causes a school closure, KMS can be used by the head teacher to SMS broadcast information to the subscriber base, and so help to prevent unnecessary travel.

City of York Council also has plans to expand the use of the system. For example, in the future, if you wish to be notified of forthcoming events in York, you may well be receiving and responding to such information via KMS.

Sanctuary Housing’s Contractors go mobile 

Sanctuary Housing have now mobilised their 360 Job Scheduling engine and their Northgate Housing and Contractors back-office systems with Kirona’s Intelligent Mobile solutions.
Sanctuary’s field based contractors now use the mobile solution coupled with a PDA device to view their allocated works orders and capture job data in real-time. As well as improving operating efficiency, Sanctuary have also enhanced worker safety by having Kirona create an electronic health and safety assessment for visits and an electronic vehicle checklist, as well as providing a panic alert features to inform colleagues of safety issues 24 hours per day. 
 
Along with the core Intelligent Mobile Housing and Contractors solutions, Sanctuary are also adopting Kirona's innovative SMS solution (KMS) to improve their efficiency and customer service.
KMS will initially be used by Sanctuary Housing to do the following:
  • If a job becomes unallocated from an operative (due to sickness etc.), the supervisor is automatically e-mailed 
  • Tenants are sent an confirmation SMS after booking an appointment
  • Tenants are sent an SMS reminder the day before their appointment
  • Once an operative finishes a job a completion e-mail is automatically sent to the contact centre

 

Edinburgh Building Services
Kirona, in partnership with Northgate Public Services and BT, have won the contract to deliver Intelligent Mobile to the City of Edinburgh Council's Building Services.

By integrating the market leading iClient technology from Kirona with three different back office systems, scheduling of work, estates management and contractor management will now become fully mobilised for City of Edinburgh Council's operatives. The Intelligent Mobile Solution is set to transform the way the authority delivers it's service and drive new more efficient ways of working, including the improvement of key performance indicators such as the delivery of Tenant First Targets.

This is the first step in a strategic partnership to deliver mobile and flexible working to City of Edinburgh Council's entire enterprise. 

 

Tower Hamlets London Borough Council
Tower Hamlets Council, an existing Kirona Intelligent Mobile Housing customer, is now mobilising Service Requests by implementing Kirona’s Public Protection (KPP) system.
 
Housing officers will now use mobile devices and Kirona’s Intelligent Mobile software to view Service Request details stored in the Civica APP back office and the Civica EDM system, regardless of the officer’s location. By providing mobile access to the back office, Tower Hamlets is ensuring that its officers don’t need to travel to the office to pick up job sheets and that they always have comprehensive information at hand to complete their jobs.
 
As well as viewing information, the mobile solution’s iScript tool will also enable the officers to capture job information whilst on site. Kirona’s iScript tool is a question based interface which guides officers through the data capture process; ensuring comprehensive and accurate notes and a consistent approach from officers. Once the iScript is finished, an electronic document is generated which can be printed off, saved, or wirelessly pushed into Tower Hamlet’s Civica EDM system.
 
As well as mobile service requests, Kirona are also providing Tower Hamlets with the Kirona Messaging System (KMS) for Gas Servicing. KMS will be used to send automated text to tenants, reminding them of impending Gas Service appointments.

Notting Hill Housing association
Notting Hill Housing will be implementing Kirona’s Intelligent Mobile OPTI-TIME solution to manage appointments for housing inspections. 

Field based inspectors will be able to request jobs through the work scheduling system no matter what their location. The Intelligent Mobile OPTI-TIME solution allocates jobs based on skills, location, hours worked etc. It creates a far more efficient way of working, by not only enabling inspectors to move on to their next task without returning to the office for job sheets, but also by allocating jobs as close to them as possible and minimising the time wasted through unnecessary travel.
 
As well as the new job scheduling solution, Notting Hill Housing (an existing Kirona Intelligent Mobile Housing system customer) will also be expanding their mobile housing capability. The new Intelligent Mobile Housing functionality will include integrated into their CRM system as well as their housing back office system, giving mobile workers greater access to information whilst in the field.

Merthyr Valley Homes - Intelligent Mobile OPTI -TIME
Merthyr Valley Homes have now chosen Kirona’s Intelligent Mobile OPTI -TIME solution to increase the efficiency of their mobile housing repairs workforce.

Historically, jobs created in the authority’s Academy Housing solution needed to go through the labour intensive and time consuming process of being manually allocated to Merthyr’s field repairs team. What is more, the service suffered further inefficiency by requiring the repairs officers to travel to-and-fro between the office and sites in order to pick up jobs and return the completed forms.

Now, not only does Xmbrace’s OPTI -TIME dynamically schedule the jobs created in their Academy Housing system, Kirona have also mobilised this system to enable field workers to view and download the jobs in real-time, from any location, to their mobile device of choice. As a result of the Kirona solution, repairs workers no longer need to travel into the office to pick up their work; they can now download work at home and travel to their first job of the day. The downloads provide comprehensive information about the work equal to that displayed in the back office and the Kirona application also allows the mobile workers to capture data electronically on their device rather than by paper and then push the information wirelessly with the use of a SIM card back to the office system. Poor network signal is also not an issue with the solution as it works in both and on-line and offline model.

The solution will now lead to significant improvements for the authority, removing not only the administration of allocating jobs, but also the wasted time and petrol spent on unnecessary visits to and from the office. Management of the workforce has also been made easier as the system allows managers to view the progress of their workforce’s tasks and re-schedule jobs in the case of staff illness, absence etc.

South Gloucestershire Public Protection
South Gloucestershire Council have chosen to adopt the Kirona Public Protection (KPP) solution to facilitate more efficient worker practices and an improved level of customer service.

The mobile solution will incorporate not only the core KPP regulatory and environmental modules but also Kirona’s Intelligent Mobile Working Components. The Mobile Components, which include; Motile Worker Dashboard, remote worker safety, image capture and upload, timesheets, mileage recording, calendar and EDM integration will enable mobile workers to not only work in a thorough and consistent manner, but
it will also reduce the administration burden placed upon them.

 

Plymouth Waste Management

Plymouth City Council is to implement Kirona’s Intelligent Mobile Waste Management Solution. Initially Plymouth sought out a vehicle tracking solution, before coming to the realisation that this must be combined with better two way communication of information from the back office / contact centre to refuse vehicles on their rounds.
 
Refuse vehicles will now be equipped with mobile devices mounted in the vehicle cabin, as well as GPS trackers. The mobile devices will use Kirona’s Waste Management Solution to tell drivers which streets to pick up from and which bins to collect; including information about assisted collections and other exceptions. In instances where collection is not possible e.g. no access, non presentation, contamination, side waste, etc, the solution will allow this information to be recorded at the touch of a button. The intelligent mobile solution makes this information available almost immediately to waste management and contact centre staff.
  
By using Kirona’s Waste Management Solution, refuse collectors will be provided with up to date information about their rounds and a more efficient method for recording problems with individual collections. What is more, the solution is completely configurable with office CRM systems. This is a key triumph for Plymouth. Previously, citizens who rang up to complain about missed collections could not be told the reason as it took time for the CRM to be updated by by paper job sheets returned to the depot at the end of each round and processed the following day. Now, the CRM is to be updated automatically within seconds of an issues being reported and citizens offered an improved level of service.
 
Missed bins will also no longer be the nuisance they once were to Plymouth. As Kirona’s solution is integrated with the vehicle’s GPS tracker, Collection Management will be provided with the location of refuse vehicles in real-time. This will enable Collection Management to allocate the nearest vehicle to pick up and missed bins, therefore limiting disruption to Plymouth’s waste management service.

GMPTE Asset Inspection and Workflow
GMPTE are responsible for the public transport services of the Greater Manchester area. They have now procured Kirona’s Intelligent Mobile Asset Inspection and Workflow Solution for their bus services. The Intelligent solution will be used to inspect bus shelters and make sure they are maintained to a suitable level. 

GMPTE’s inspection is broken down into two teams; inspection and maintenance. The Kirona solution is being used by the first field service team to inspect bus shelters. This team determine if the bus shelters have any defects and if any action is needed, e.g. repairs. The inspection field service team enter the relevant information into the Kirona solution which then generates jobs for the second team who focus on maintenance. Once the second team arrive at the shelter they carry out their maintenance jobs as allocated to them and then close the jobs in Kirona when completed.

Family Mosaic
Family Mosaic Housing Association is live with Kirona’s Intelligent Mobile Housing for their field workforce. Integrated with Northgate’s back office housing application, Family Mosaic’s workforce now have access to back office information at any time and from any location. The application is currently used for all housing purposes that require a mobile workforce; repairs, estates, customer service etc.

Family Mosaic have also purchased Kirona’s Dashboard tool for their mobile workforce. When integrated with Family Mosaic’s existing CRM, jobs created in the CRM will be sent to the mobile worker’s calendar within Dashboard. This will enable high priority jobs to be sent to mobile workers whilst they are in the field and not require them to return to the office to pick up paper job sheets.


Places for People and Services Birmingham
Kirona Intelligent Mobile Solutions and Northgate Information Solutions have signed two contracts worth a total of £1.2 million to promote efficient, effective and environmentally-friendly services. 

Kirona and Northgate will support Places for People, the leading housing and development organisation, and Service Birmingham, the strategic partnership between Birmingham City Council and Capita, to take their services out to local communities.

At Places for People, it will provide around 1,000 housing officers across the country with the ability to improve services for residents whilst out in the field. Maintenance requests can be logged on-the-spot, queries answered immediately, and residents receive help with completing housing application forms or amending payment schedules in their own homes. Staff will also benefit through reduced travel and the ability to work from home through removing the need to collect and return case files.

As part of its wider transformation programme, Service Birmingham has now selected Kirona and Northgate as its preferred supplier for mobile services across the city. It will be used primarily by the housing department to find more innovative ways of delivering services that benefit both employees and citizens, particularly in the most vulnerable communities.

For both organisations, the increased use of mobile services will:

  • Speed up the delivery of personalised services for citizens and residents
  • Deliver effective services more efficiently
  • Support the introduction of flexible working practices such as home-working
  • Reduce their carbon footprint, through minimising return trips to and from the office to collect essential information.

 

City of York Council choose Enterprise Mobile
City of York Council have chosen the Enterprise Mobile Solution from Kirona and its partner Vodafone, to provide a single platform for enabling mobile & flexible working across a variety of service areas. After reviewing the options it was clear that the proven integration of the software platform with existing back office systems and unique components for supporting Accommodation Reduction and Gershon drivers were key to the decision.

The five year contract will deliver transformational outcomes for staff in both front office and mobile environments and joins up different back office databases into one single interface. The solutions have been procured under Catalyst and have the benefit of being part of the end to end Vodafone Managed Service, providing a single point of contact and comprehensive SLA to support the services.  

 

Manchester City Council Tender Award
Kirona have been awarded the contract to deliver an Intelligent Mobile Application for the Pest Control department as part of a wider initiative for the Regulatory & Enforcement Services division. Using the Kirona Public Protection (KPP) foundation the application will be tailored to the specific needs of the team and will enable new more efficient ways of working. The KPP foundation will join-up the SAP and Civica APP systems providing transparent and real time access to key data for staff out in the field.

 

Dudley MBC "Go Motile" for Housing
The Motile Housing application and associated Intelligent Mobile components has been chosen by Dudley MBC to assist in key areas of service delivery. Implementation has started in the housing contact centre where staff are able to use the Intelligent Dashboard to quickly bring together information from different data sources into one simple efficient screen.

Rollout to housing repairs team working in the community on a variety of mobile devices is planned shortly, rising to 200+ staff using the system to improve service delivery and increase efficiencies.

 

ReGS goes live at Barnsley
ReGS phase 1 goes live at Barnsley MBC across multiple departmental areas.
 
 
ReGS is a project pioneering the implementation of mobile and flexible working in Local Authority Regulatory and Environmental Services. Supported by the Yorkshire and Humber Regional Centre for Excellence and Project Nomad, a new Intelligent Mobile system has been developed which integrates with and joins up the leading back office systems including Northgate, Civica APP (Flare) and the leading document management systems.
